Travel Advisor - Academic Travel

We are seeking an experienced Academic Travel Advisor to join our team. This position will manage both individual travel and student group travel for schools, working directly with school clients to develop proposals, confirm arrangements, manage deadlines, and support their travel needs from the initial request through final booking.

This is a great opportunity for an experienced travel professional who is comfortable managing multiple trips and deadlines while providing responsive, professional service to clients.

Responsibilities

The Academic Travel Advisor will coordinate and book a wide variety of travel components, including:

  • Individual and group air travel
  • Individual and group hotel accommodations
  • Airport and ground transfers
  • Motorcoach and bus transportation
  • Excursions and tours
  • Theme park travel, including Disney and Universal
  • Museums, attractions, and other student group activities
  • Other travel components associated with academic and student group travel

Our team currently utilizes:

  • Sabre for air and hotel reservations
  • Bedsonline for hotel bookings
  • Direct vendor booking systems
  • Airline group departments and group booking platforms
  • TRES as our CRM and booking-tracking system

All quotes, proposals, bookings, confirmations, client communications, and trip details are tracked within TRES.

Client & Trip Management

This position requires regular direct communication with clients by both email and phone.

The Academic Travel Advisor will be responsible for managing multiple active travel requests and established deadlines, including:

  • Preparing and updating travel proposals
  • Researching and quoting travel options
  • Confirming trip components
  • Monitoring airline, hotel, and vendor deadlines
  • Managing deposits, ticketing dates, rooming deadlines, and final payment deadlines
  • Maintaining accurate booking records
  • Documenting client communications and trip changes
  • Following trips from the proposal stage through final confirmation

Strong organization and attention to detail are essential, as multiple school trips may be in different stages of planning at the same time.

Required Experience

Candidates should have:

  • Minimum 2 years of recent Sabre experience booking air
  • Working knowledge of airline ticketing procedures
  • Experience processing airline refunds and voids
  • 1–2 years of group air booking experience, including booking directly with airline group departments
  • Experience using the American Airlines Groups booking website
  • Knowledge of claiming American Airlines group reservations and issuing group tickets through Sabre
  • 1–2 years of group hotel booking experience, including sourcing and booking hotel accommodations for groups, working directly with hotels and/or group hotel booking platforms, and managing group rates, contracts, room blocks, deposits, rooming lists, and applicable deadlines
  • 1–2 years of experience handling corporate and/or academic travel requests and bookings
  • 1–2 years of experience using a travel CRM or booking-tracking system
  • Strong written and verbal communication skills
  • Ability to communicate professionally with clients by phone and email
  • Ability to manage multiple bookings, deadlines, and priorities simultaneously
  • Strong attention to detail and follow-through

Schedule

The current schedule for this position is:

Monday–Friday, 8:00 AM–5:00 PM with a one-hour lunch.

There may be some flexibility in the established work schedule, which can be discussed during the interview process.

Ideal Candidate

The ideal candidate is an experienced travel advisor who is comfortable working independently while being part of a collaborative team. You should be comfortable managing detailed travel arrangements, communicating directly with school clients, working within established deadlines, and maintaining complete and accurate records for every trip.

Because of the specialized nature of our Academic travel business, hands-on Sabre, group air, and group hotel experience are important qualifications for this position.

Employment is contingent upon successful completion of a pre-employment background check.

Pay: $41,600.00 - $52,000.00 per year
