AI Workflow / No-Code Automation Virtual Assistant

Job Title: AI Workflow / No-Code Automation Virtual Assistant

We’re looking for someone who can actually build and maintain automations—not just “explore AI tools.” This role is focused on taking repetitive, manual processes across the business and turning them into reliable, working workflows using no-code tools and AI integrations.

You’ll be working directly with internal processes (marketing, operations, lead handling, reporting) and expected to connect tools, move data between them, and reduce manual work without breaking things.

Key Responsibilities:

  • Build and maintain automations using tools like Zapier, Make (Integromat), or similar platforms
  • Connect apps (CRM, forms, email tools, spreadsheets, etc.) into clean, reliable workflows
  • Set up AI-powered steps (e.g., OpenAI, Claude, etc.) for content processing, tagging, summarization, or routing
  • Audit existing workflows and fix issues, delays, or unnecessary complexity
  • Create simple internal systems (e.g., lead routing, follow-ups, notifications, task creation)
  • Document workflows so they can be understood and maintained by the team
  • Monitor automations and troubleshoot errors when things break

Requirements:

  • Hands-on experience building automations in no-code tools (Zapier, Make, or similar)
  • Experience integrating multiple tools and understanding how data flows between them
  • Familiarity with using AI APIs/tools inside workflows (prompt structuring, handling outputs, etc.)
  • Ability to think in processes, not just tasks (identify inefficiencies and improve them)
  • Comfortable working with structured data (fields, formats, mapping, filters)
  • Strong attention to detail—small mistakes in automation can break entire flows
  • Able to work independently and make practical decisions without overcomplicating solutions

Nice to Have:

  • Experience with CRM systems (HubSpot, Airtable, etc.)
  • Basic understanding of webhooks or APIs (no coding required, but helpful)
  • Experience supporting marketing or operations teams with automation

Application Requirement:

  • Please include examples of automations you’ve built, what they did, and the type of companies or use cases they supported (e.g., lead generation, e-commerce, internal ops, etc.)
