Personal Assistant

We are seeking a highly organized and detail-oriented Personal Assistant to support a HealthCare Executive. The ideal candidate will have strong administrative skills, excellent proficiency in Excel, and the ability to handle confidential information with integrity. This role requires a proactive individual who can manage multiple tasks efficiently and contribute to the smooth operation of the executive’s daily activities.

Key Responsibilities:

Administrative Support:

  • Manage the executive’s calendar, including scheduling appointments, meetings, and interviews.
  • Prepare and edit correspondence, reports, and presentations.
  • Handle phone calls, emails, and other communications on behalf of the executive.
  • Maintain organized filing systems, both electronic and physical.
  • Financial Management:
  • Bookkeeping tasks and knowledge of QuickBooks, including expense tracking, invoicing, and budget management.
  • Prepare financial reports and summaries as required.
  • Assist with financial planning and analysis.
  • Knowledge of payroll processes

Data Management:

  • Use Excel to create and manage spreadsheets, perform data analysis, and generate reports.
  • Ensure data accuracy and integrity in all reports and documents.
  • Project Coordination:
  • Assist in the planning and execution of projects, ensuring deadlines are met.
  • Coordinate with internal and external stakeholders to facilitate project activities.
  • Track project progress and provide regular updates to the executive.
  • Event Planning:
  • Organize and coordinate meetings, conferences, and special events.
  • Handle logistics, such as venue booking, catering, and attendee management.
  • General Office Duties:
  • Perform general office duties, such as ordering supplies, managing mail, and maintaining office equipment.
  • Provide support to other team members as needed.

Qualifications:

  • Education:
  • High school diploma or equivalent required
  • Experience:
  • Minimum of 1-2 years of experience as a personal assistant or in a similar administrative role.
  • Experience in the healthcare industry is a plus.
  • Technical Skills:
  • Proficiency in Excel is mandatory.
  • Strong computer skills, including familiarity with Microsoft Office Suite (Word, PowerPoint, Outlook).
  • Knowledge of office management systems and procedures.
  • Soft Skills:
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • Proactive and able to anticipate the needs of the executive.

Pay: $22.00 per hour
