Research Assistant - Commercial Real Estate (Remote in DFW)
<p>Our client is seeking a highly organized, resourceful assistant to support their specialized North Texas land brokerage practice.<strong> </strong>This role combines municipal and property research, listing marketing, inquiry coordination, database upkeep, and transaction administration. The assistant will help turn raw property information into organized work products, keep listings and opportunities moving, and protect the broker's time for strategy, client relationships, and in-person meetings.</p><p><br></p><p>The right candidate is comfortable working independently, following up persistently, learning unfamiliar real estate and infrastructure topics, and communicating professionally with property owners, prospects, brokers, engineers, title companies, and municipal personnel.</p><p><br></p><p><strong>Primary Responsibilities</strong></p><p><br></p><p>Research and opportunity development</p><p>•Research municipal water, wastewater, thoroughfare, zoning, future land use, utility service areas, capital improvement plans, and other infrastructure affecting North Texas land.</p><p>•Contact cities, utility providers, counties, appraisal districts, and other public sources to obtain maps, plans, records, and knowledgeable staff contacts.</p><p>•Organize findings by property and market, identify unanswered questions, and prepare concise summaries for the broker's review.</p><p>•Research ownership, acreage, parcel boundaries, surrounding development activity, builders, developers, investors, and comparable listings or sales using available databases and public records.</p><p>•Help build targeted prospect lists based on utility availability, infrastructure expansion, development patterns, and the firm's geographic priorities.</p><p><br></p><p>Listing and marketing support</p><p>•Gather, organize, and verify source materials for new listings, including surveys, aerials, maps, tax records, utility information, photographs, zoning information, and property highlights.</p><p>•Prepare and update property brochures, email campaigns, website listings, mapping platforms, and other marketing materials using approved templates and information.</p><p>•Maintain consistent property information across marketing channels and promptly correct outdated pricing, acreage, status, contact information, or attachments.</p><p>•Build and maintain buyer, broker, developer, investor, and landowner distribution lists; segment outreach by property type, geography, and likely interest.</p><p>•Track marketing activity, inquiries, follow-up commitments, and responses so promising contacts do not fall through the cracks.</p><p><br></p><p>Inquiry and relationship coordination</p><p>•Monitor designated email and telephone inquiries, respond promptly using approved information, and obtain the basic details needed to qualify the inquiry.</p><p>•Schedule calls, meetings, property tours, and follow-ups for the broker; provide the broker with a short briefing and relevant property materials in advance.</p><p>•Maintain accurate notes, contact records, next actions, and reminders in the firm's systems, including Land id, Outlook, and other tools adopted by the firm.</p><p>•Prepare a focused daily or weekly call and follow-up list based on active listings, prospective assignments, client commitments, and priority relationships.</p><p><br></p><p>Transaction and project administration</p><p>•Create and maintain electronic files, checklists, key-date schedules, contact lists, and status summaries for listings and transactions.</p><p>•Coordinate the administrative flow of contracts, amendments, surveys, title commitments, feasibility materials, invoices, signatures, and closing documents.</p><p>•Track option, feasibility, financing, closing, notice, and other critical dates and alert the broker well in advance of deadlines.</p><p>•Follow up with clients, cooperating brokers, title companies, engineers, attorneys, and other parties for documents or status updates at the broker's direction.</p><p>•Support special advisory and entitlement-related assignments through document organization, meeting coordination, research tracking, and progress reporting.</p><p><br></p><p>Administrative support</p><p>•Keep shared files, templates, task lists, calendars, and property records orderly and current.</p><p>•Prepare meeting agendas, notes, action lists, and basic reports when requested.</p><p>•Handle confidential client, property, and transaction information with discretion.</p><p>•Suggest practical process improvements that reduce repetitive work and improve follow-through.</p><p>Priorities and allocation of time</p><p><br></p><p>The weekly mix will change with listing and transaction activity. As a general guide, the role is expected to allocate time approximately as follows:</p><p><br></p><p><strong>Workstream Typical share</strong></p><p>Property municipal and utility research</p><p>30 to 35 percent</p><p><br></p><p>Listing marketing and database management</p><p>25 to 30 percent</p><p><br></p><p>Inquiry scheduling and follow up coordination</p><p>15 to 20 percent</p><p><br></p><p>Transaction and project administration</p><p>20 to 25 percent</p><p><br></p><p><strong>Required qualifications</strong></p><p>•Exceptional organization, attention to detail, follow-through, and written communication.</p><p>•Ability to research unfamiliar topics, identify reliable sources, ask good questions, and summarize findings clearly.</p><p>•Professional judgment and confidence communicating by email and phone with clients, prospects, public officials, and service providers.</p><p>•Proficiency with Microsoft Outlook, Word, Excel, and PDF documents; willingness to learn mapping, CRM, email-marketing, and listing platforms.</p><p>•Ability to manage multiple properties and deadlines without losing track of next actions.</p><p>•Reliable availability during agreed business hours Monday through Thursday and the discipline to work effectively in a primarily remote setting.</p><p>•Commitment to accuracy, confidentiality, responsiveness, and ethical handling of client information.</p><p><br></p><p><strong>Preferred Experience</strong></p><p>•Two or more years in commercial real estate, residential development, engineering, title, legal, brokerage administration, transaction coordination, or a related field.</p><p>•Experience reviewing surveys, plats, zoning or future land use maps, utility maps, appraisal district records, contracts, or title materials.</p><p>•Experience with Canva, Buildout, Squarespace, email campaign tools, Land id, GIS or mapping systems, a CRM, or similar platforms.</p><p>•Familiarity with North Texas municipalities, land development, or commercial real estate terminology.</p><p><br></p><p><strong>Work style and growth opportunity</strong></p><p><br></p><p>This is a hands-on role in a small, specialized brokerage. Priorities will shift, and the assistant should be comfortable taking ownership of recurring processes while asking questions when judgment or authority is required. The position can grow in responsibility as the firm's systems, listing inventory, advisory work, and transaction volume expand.</p><p><br></p><p>***This role will be on a 1099 basis, with an estimated 15-20 hours per week to start. Hours will likely increase as responsibilities are added.</p>
