About the Client
This client operates in the legal industry, focusing on personal injury law. They are currently seeking to enhance their team to ensure efficient case management and client satisfaction. This role is crucial for maintaining workflow and supporting attorneys in their efforts.

The primary objective of this role is to fill a critical gap left by an internal paralegal. By hiring a dedicated legal assistant, the client aims to improve communication, streamline case management, and enhance overall client satisfaction.

The Impact you’ll make

Case Management & File Development
  • Serve as the primary point of contact for assigned clients during treatment and demand preparation.
  • Maintain accurate, complete, and up-to-date records in the firm’s case management system.
  • Monitor medical treatment progress and follow up regularly with clients.

Demand Preparation (No Negotiation Authority)
  • Draft clear, persuasive, and well-supported settlement demands.
  • Confirm that all treatment is complete prior to submission.
  • Submit finalized demands to insurance carriers.
Client Communication & Satisfaction
  • Maintain proactive communication with clients every 7–10 business days.
  • Return client calls, emails, and messages promptly.
  • Clearly explain treatment expectations and documentation needs.
Liens, Coverage & Compliance Monitoring
  • Identify potential Medicare involvement and notify the supervising attorney.
  • Document all lien-related findings clearly in the case file.

Documentation, Compliance & Risk Management
  • Accurately document all case activity and client communications.
  • Maintain strict compliance with HIPAA and state privacy laws.


Skills, Knowledge and Expertise

Required:

  • Direct prior experience handling US personal injury pre-litigation workflows (Stages 1–2), including medical records retrieval, billing collection, and demand package drafting.
  • Exceptional written and verbal English skills with clear pronunciation and strong phone etiquette for client calls and provider follow-ups.
  • Proven ability and dedicated setup to consistently work US Eastern Time hours (9:00 AM – 5:00 PM ET) without attendance conflicts.
  • Hands-on experience or demonstrated tech fluency in navigating legal CRM systems (Smart Advocate preferred) and VOIP/phone software (RingCentral preferred).

  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS
